Mobile Devices for Property Management Software

RDP is pleased to announce our Mobile Devices capability, designed to improve communication with guests and employees.  The five new modules below allow the  RDP system to communicate with their guests and employees via a wide variety of handheld devices, including smart phones and tablets. Mobile devices can be a very cost effective method to improve communications, because the mobile devices do not require a cell plan if a wireless network is available.  The links below provide additional information on each area within RDP that utilize mobile devices:

Mobile device programs are easy to install and require no software on the device itself. If you are currently using the IRM.Net, install the mobile programs on the IRM.Net server. If you do not have the IRM.Net, contact RDP Sales for details. RDP Mobile programs are designed to work on most smart phones and tablets. RDP has tested the following devices, however, if you would like to use one not listed below, contact RDP Support for details.

  • iPhone, iPod touch, and iPad

Mobile Phone Guest Communications - Confirmations, Messages, Room Ready Notifications

The Mobile Devices module allows communication with guests via text messages to their mobile phones. This module includes:  

 

Text Reservation Confirmations

When a reservation is completed from RDPWin, Internet Reservation Module (IRM.Net), or Global Distribution System (GDS), the RDP system can send a text confirmation to the guest.

 

   
 

 

Check-in Room Status

 

When a guest arrives at the property to check-in and their room is not ready, the Guest Communication module can automatically send a text to the guest to return to the front desk and pick up a key when the room status is changed to "clean and ready."  

 

 

 

Guest Messages

Messages can be sent to the guest's mobile phone.  For example, when a package is delivered to the front desk the RDP system can send a text to the guest to pick up the package.

A history of all messages for each reservation is available.

Housekeeping Schedules and Changing Room Status

The Mobile Devices modules extends the power of RDP's Housekeeping System to allow communication with the housekeeping department via a smart phone, tablet, or any mobile device.  A wireless internet connection or cell plan is required. The Mobile Housekeeping capabilities include:

  • Separate screens for management and housekeepers.
  • Display daily schedules.
  • Notify housekeeping of new assignments.
  • Change room status, add notes, or change clean type.
  • Clean Status Summary for management.

Management Reporting with Mobile Devices

The Mobile Devices module allows for better management of the property from any location using a smart phone or tablet. View reservation and revenue data for yesterday, today, or tomorrow. The following reporting is available with Mobile Management with options to select the time period for reporting (week, month, year, etc):

  • Revenue - overall revenue, market code, rate plan, room type, state, and source of business statistic categories are available.
  • Occupancy - overall occupancy, market code, rate plan, room type, state, and source of business statistic categories are available.
  • Average Daily Rate - overall occupancy, market code, rate plan, room type, state, and source of business statistic categories are available.
  • RevPAR - overall occupancy, market code, rate plan, room type, state, and source of business statistic categories are available.

Mobile Work Orders

The Mobile Devices modules extends the power of RDP's Work Order and Asset Management system to allow communication with the maintenance department via a smart phone or tablet. Increase the efficiency of the maintenance department with mobile access.  A wireless internet connection or cell plan is required.

Mobile Work Order features include:

  • Add new work order notifications.
  • Notify maintenance of a work order.
  • Head of maintenance can view all work orders assigned to the maintenance department. Each staff member can view work orders assigned to their account.
  • All new work orders display for each maintenance staff member.
  • Enter time spent on a work order from the job site.
  • Enter notes and comments on the work completed.
  • Provide login credentials to vendors so they can view their open work orders.
  • Change work order status to closed upon completion

Mobile Check-In

The Mobile Devices modules extends the power of RDP's Front Desk System to allow guest check-in from a mobile device.  Expedite the check-in process and improve customer satisfaction. Check-in guests from anywhere on the property including the guest's room, eliminating the need for the guest to wait in line at the front desk.

Note: Only tablets are supported with Mobile Check-In. Smart phones are not supported.  IPads 2,3,4 and Mini  are the only tablets that support credit card swipes and receipt printing. You may still manually enter the credit card number and then process the credit card on any iOS or Android tablet.

 The following iOS peripherals are supported for swiping credit cards and printing receipts from Mobile-Check-In.

 Current features of Mobile Check-In include:

  • View current arrivals list.
  • Guest reservation information displayed, including folio detail, notes, comments, itinerary, preferences, tasks, and work orders. Click the badges to view the detail.

  • Change guest status to checked-in.
  • Process credit card payments, or collect cash or checks. Credit card payments require the billing zip code for added security.

  • Scan credit card on credit card swiper or key in the card number.
  • Text or email the check-in notice to the guest.
  • Capture the guest signature for credit card payments and to indicate they have agreed to the rental agreement.

Communicate with Wireless or Cell Technology

RDP mobile device technology can communicate using your wireless network or cell technology.  The most expensive part of a mobile device such is the cellular calling plan, not the device itself.  If a wireless network is available at the property, purchasing an expensive calling plan for the modules is not necessary.  For example, a maintenance employee or housekeeper could have a device that was connected only to your internal wireless network, which provides free communication.  If a wireless network is not available, then RDP mobile modules will communicate using cellular technology, and a calling plan for the device is required.
