Crystal Reports
Updated: 10/08/09
RDPWin uses Crystal Reports
as the basis for over 300 reports. During
installation, if time permits, RDP will modify some of these reports and create
new ones to meet the unique requirements of each customer. After installation,
customers can create their own reports or modify system reports using Crystal Reports
2008. Crystal Reports is the most popular report
writing tool in the world and allows the use of graphics, colors, charts, and fonts
which improve the look of all guest correspondence. To create or modify reports,
customers must purchase a copy of Crystal Reports 2008.
It can be purchased directly from
www.cdw.com, or other websites.

Reporter Module Features
RDP provides over 300 standard reports with the Reporter module. These
reports can be used "as is" and also serve as a template for creating custom reports.
RDP is continuously adding new standard reports. All new standard reports
are provided to those customers with a current support contract at no additional
charge.
- Automatically create a wide variety of graphical reports.
- Add pictures, clipart, and/or logos to any report.
- Export reports to a wide variety of standard formats, including HTML, Microsoft
Excel, Microsoft Word, and
e-mail.
- Create mailing labels for guests, travel agents, groups, and companies using
"four across" labels and a laser printer.
- Eliminate mailing costs by sending confirmation and marketing materials
via e-mail.
- Access most RDP data. Virtually any field in any RDP data file can be included
on any report. It is also possible to include fields from different data files
on the same report.
RDPWin Reporter for Crystal
Reports
Reports appear on a primary screen within RDP's windows based
RDPWin property management system. They
also appear on various RDPWin sections. For example, the arrival report appears
in the Reservations section as well as the Reporter. A sample of the RDPWin
Reporter appears below. Areas of this sample screen are:
RDPWin
Report Viewer Area |
Definition |
| Navigation |
RDPWin Reporter navigation area allows switching from
the "Reports" listing to sending e-mails to guests or other masters.
The "Security" option allows only certain users to have access on a
report by report basis. |
| E-Mail |
Confirmations and other reports can be sent via e-mail,
as well as mass e-mail to past guests, travel agents, groups & owners.
See
RDP
E-Mail for details. |
| Security |
Each report can have security assigned. For example,
a front desk clerk may be able to view the arrival report, but not the
daily revenue totals. If a given user does not have proper security
access to a report folder, the folder does not appear as an option.
|
| Report Folders |
Reports are separated into categories by folder name,
such as Front Desk, Night Audit, etc. As you create new reports
with Crystal Reports, you can add them to an existing folder or create
a new folder, such as "Manager's Reports". |
| Report Names |
On the right-hand side of the screen below, the names
of all reports in the folder category appear. In the example below,
the category is Analysis. If the user does not have the proper
security setting for a given report, it will not appear in the list.
|
| Report Description |
A short description of the highlighted report appears
below the reports listing. In this example, the "AnalysisAgents"
report is highlighted and the description appears at the bottom.

Create Custom Reports with Crystal
All 300+ Crystal Reports provided by RDP can be viewed on the
screen or printed without any training, as long as the employee has been given property
security access to the report. Customers can make simple changes to reports
without any training from RDP by using Crystal Reports Version 10.0 Standard Edition.
Any customer who is already familiar with Crystal reports, can make more complex
report changes and create their own reports, without any additional training from
RDP.
RDP has developed a training course for Crystal Reports for those
customers who are not familiar with this software and wish to make complex report
changes or create their own new reports. There are
